Club Mailer lets a club email its own members directly

What the problem was

HOOPLA, the CAQ newsletter, reaches every member in Queensland, but a club had no simple way to email just its own members, say, to remind them about a working bee or a change of session time. The alternative was juggling a personal email list outside any club system, with no shared record of who'd actually received it.

What was built

A "Club Mailer" tool inside myCroquet, written for club secretaries and captains rather than CAQ staff:

• Three ways to choose who gets the email: everyone in the club, hand-picked individual members, or a saved group you can reuse next time.
• Replies go straight back to whoever sent the email, not into a shared inbox, so a member's reply reaches the right person.
• A simple write-and-send screen using the same editor already used elsewhere on myCroquet, with a preview and a test send to your own inbox before the real one goes out.
• A record of every send, showing subject, date, how many people it reached, and whether it landed, so a club can see its own history.

The email itself is sent through the same reliable email platform CAQ already uses for HOOPLA, built so a failed or interrupted send can pick back up where it left off rather than risk sending the same email twice.

What it means for you

Once turned on, a club committee will be able to email its own members without leaving myCroquet, and without needing a separate mailing list to maintain. HOOPLA continues to be the state-wide news.

Where it stands

Built and fully tested on the club test system as of 12 July 2026, including a safety review that caught and fixed a timing bug where two people sending at once could have clashed. It exists but hasn't been switched on for any club yet. That's a later decision, expected to start with club secretaries.
