Why your committee list matters to CroquetClaude
It is how CroquetClaude knows who is asking.
When you write to hello@croquetqld.org, you are using the front door for Croquet Queensland. These messages are answered by CroquetClaude, the AI assistant that works for the organisation.
To work effectively, the assistant needs to know who is writing. This is why maintaining your details in myCroquet, the CAQ member platform, is so important.
We have previously explored The club profile module and The membership system. Both are live modules. The former allows the secretary to keep public details current, including the address, contacts, playing times, and Come & Try sessions, as well as the club's story and photos.
At the moment, CAQ works from committee lists loaded from spreadsheets sent in by clubs. While the AI handles the initial response, a person at CAQ still checks any message that requires a decision before it is acted on.
A new recognition capability is on the way.
There is no set date or timeframe for when this will go live, but the goal is for CroquetClaude to check an incoming address against the committee list in myCroquet. If that record is current, the assistant will know which club the sender represents and what position they hold.
Consider this example. A secretary emails hello@croquetqld.org to say, "Sally Smith has a new phone 0480 000 000." That request gets answered today, with a person at CAQ making the connection between the email address and the secretary role by hand.
Once this is live, the AI will check the sender's details against the list in myCroquet. It will see the sender is the secretary and can then update Sally Smith's phone number on the member record directly.
This only works if your committee information is current. You must keep names, positions, and emails accurate. This includes roles such as president, vice president, secretary, and treasurer. A stale or incomplete entry will stop recognition from working.
Clubs can choose how they interact with CAQ. You might use a form in the platform, make a phone call, or send an email. The outcome is the same as long as the underlying member record is correct.
